Description
The Grant Park Music Festival (the Festival) seeks a full-time, year-round Administrative Coordinator to join our staff and manage key tasks and projects throughout our office. Reporting to the Chief Financial Officer, the Administrative Coordinator has a wide array of responsibilities, including serving as the Festival's office manager, performing data entry, producing mailings, and providing executive office support for the CEO. Qualified candidates will demonstrate their ability to anticipate organizational needs, be detail-oriented and efficient, and have a "can-do" attitude. 


SELECT DUTIES AND RESPONSIBILITIES
  • Serve as office manager and help to ensure the smooth operation of the Festival's administrative office; manage mail and packages, track and order supplies and materials, and serve as point of contact for maintenance and security staff. 
  • Enter donor contributions and pledges into our CRM system (Tessitura), produce weekly gift acknowledgement letters, and make updates to records.
  • Produce and update materials including calendars, meeting programs, board handbooks and directories.
  • Serve as liaison to outsourced IT services and provide staff support and training on computers, software applications, digital file system, and shared office technology.
  • Assist with preparations for organizational events and meetings, including sending invitations, collating materials and registration lists, and making reminder calls.
  • Schedule meetings for the CEO and assist with calendar management as needed.
 
CANDIDATE QUALIFICATIONS
  • Minimum of three years of administrative-support experience; non-profit organization experience a plus.
  • Demonstrated proficiency in Microsoft Office applications - especially Outlook, Word, and Excel.
  • Excellent interpersonal and communication skills.
  • Ability to operate in a fast-paced and dynamic environment, managing and prioritizing simultaneous tasks and deadlines.
  • High level of integrity and trustworthiness with confidential information.
  • Demonstrated organizational and project management skills.
  • Previous experience with Tessitura is preferred. 

COMPENSATION/SCHEDULE
  • $43,000 - $45,000, commensurate with experience.
  • Competitive annual benefits package includes two weeks paid vacation, ten paid holidays, four paid personal days, 12 paid sick days; employee and dependent health, dental, vision and life insurance; and 403(b) retirement plan with 3.75% employer matching contribution after one year of employment.
  • Work day is 9am - 5pm; occasional evenings will be required for organizational meetings/events.
  • Start Date: As soon as possible.

Prior to the first day of on-site work at the Association's office or venue, and/or within 10 days of hire, all employees must show proof of at least one vaccine dose; within the next 28 days, all employees must be able to show proof of completed course of vaccination. Paid time off to receive vaccinations is available.

For more than 85 years, the Grant Park Music Festival has been Chicago's summer musical sensation, demonstrating that classical music performed by a world-class orchestra and chorus can have a transformative impact on the city. Showcased in the city's most spectacular setting, the Festival continues to be the summer gathering place for all of Chicago. The Jay Pritzker Pavilion in Millennium Park is the official home of the Grant Park Music Festival, with free seats available for every concert.
